Donor Engagement Coordinator

Position Summary

The Donor Engagement Coordinator is responsible for assisting with the planning, coordination and execution of large and small scale events supporting many constituencies and donor stewardship. The flawless execution of events requires attention to detail, excellent customer service skills, and the ability to find solutions to unexpected challenges on-the-fly. The Donor Engagement Coordinator will interact with donors and event attendees through RSVP management, nametag and place card creation, intake form and calendar management as well as other event execution details. A positive can-do attitude will be a key to success as the Coordinator works closely with other team members, peers and cross-functional partners daily. 

The Donor Engagement Coordinator will work ahead to prepare for events by assisting with pulling inventory, loading vehicles, and executing set-up and tear-down as needed. In addition, the Coordinator will work collaboratively with the Stewardship team to help ensure a first rate donor experience. The Donor Engagement Coordinator reports to the Director of Donor Engagement.

Core Responsibilities include but are not limited to:

  1. Participate in the planning and coordination of on-site and remote events, activities and partnerships that further the mission of the Foundation.
  2. Work closely with the Infrastructure team to execute use of the KSU Foundation building.
  3. Utilize event module to create and track event RSVP responses in order to ensure the proper attendee count and special considerations for attendees and provide follow up as necessary.
  4. Prepare nametags and monitor the registration table at events.
  5. Interact with guests and attend to unexpected requests and issues during events.
  6. Assist KSU Foundation event related inventory, event space and courtesy gift inventory preparing gift orders and providing invoicing as required.
  7. Assist with preparing a variety of letters, memos, forms and reports including pre and post-event reports to insure proper communication and illustrations of how expected outcomes were met.
  8. Assure appropriate filing and imaging of event materials including invitations, contracts, receipts and other support documents.
  9. In collaboration with Stewardship team, assist with donor calls and reception desk coverage as needed and assist with other stewardship efforts.
  10. Work with stewardship team on memorial gift tracking and other stewardship efforts. 


  • Two to three years professional and transferrable work experience in event planning, project management, and customer-service.
  • Positive, team-player with customer focus and excellent problem-solving skills.
  • Customer centric approach with the ability to listen and translate the needs of the donor into action.
  • Exemplary attention to detail and ability to manage multiple projects at once and drive them to completion.
  • Demonstrated proficiency in working with computers, databases and the Microsoft Office environment including Word, Excel and PowerPoint.
  • Must have strong communication skills, interpersonal skills and oral and written communication skills.
  • Uses discretion, displays mature judgment and diplomacy.
  • Requires work outside of regular business hours, including nights and weekends.
  • A valid driver’s license with an acceptable driving record required.


  • No travel required.

Physical Demands:               

  • Work is primarily sedentary. Must be able to sit for long periods of time. May require occasional physical exertion such as long periods of sitting or standing; recurring bending, crouching, stooping, stretching, reaching, or similar activities.
  • Requires recurring lifting of heavy items; must be able to lift heavy objects over 50 pounds.

Desired Skills & Experience:                                   

  • Experience in event planning, project management, customer-service preferred.
  • Bachelor’s degree in public relations, communications, marketing or related field.
  • Demonstrated creativity in event planning, and implementation.
  • Previous experience analyzing data to form solutions and solve problems.
  • Demonstrated experience working within system constraints and the ability to make suggestions for process improvement.
