Operations Assistant- Part Time

Position Summary

The Operations Assistant will work a set schedule of 20 hours per week with the real estate & operations team to manage calendars, create presentations, and provide follow up correspondance related to large projects. The Assistant will be well-organized and will provide support so staff can successfully balance multiple major projects with conflicting deadlines to completion. The Assistant will be expected to communicate professionally at all times with staff at all levels while working through situations in flux. The confidence to make appropriate decisions, the ability to proactively manage relationships at all levels of the organization, and the foresight to anticipate and socialize challenges are attributes critical to success in this role. Handles confidential correspondence and exercises a high degree of discretion and initiative in a positive manner. Ideal candidate will be available to work throughout the calendar year in Manhattan campus office and will demonstrate the capacity to maintain employment over a period of time that allows for professional development and project completion.

Core Responsibilities include but are not limited to:

  1. Prepare appropriate correspondence with foundation staff, university adminstration and external partners.
  2. Assist staff with preparations for real estate & operations related events, perform work related errands and/or deliveries internally or externally as directed.
  3. Assist staff with scheduling meetings with internal and external partners, and creating meeting agendas, correspondence, reports, presentations and other documents with clearly organized thoughts and clear-cut language.
  4. Create, proof-read and polish PowerPoint presentations intended for high level internal and external audiences.
  5. Provide general back-up and clerical assistance as needed.
  6. Maintain confidentiality regarding KSU Foundation business and donor and partner interactions.
  7. Assist staff with multiple projects simultaneously and provide regular updates to team.
  8. Ability to interact with donors, Board of Directors, University and community leadership and internal and external partners in a professional and courteous manner.


  • Previous work experience in a professional environment as an executive assistant or in a position with similar responsibilities and requirements.
  • High level of competency and proficiency in Microsoft Word, Excel, Outlook, PowerPoint and other applications as needed.
  • Demonstratable time management expertise with the ability to balance multiple projects with competing deadlines.
  • Competency to handle complex scheduling initiatives, strong organizational and prioritization skills with exceptional attention to detail.
  • Adaptable to changing work conditions and demonstrated ability to focus those around him/her to achieve desired results.
  • A valid motor vehicle operator's license and acceptable driving record required.


  • No travel required.

Physical Demands:               

  • Work is primarily sedentary. Must be able to sit for long periods of time. May require occasional physical exertion such as long periods of sitting or standing; recurring bending, crouching, stooping, stretching, reaching, or similar activities.
